Orange Recruitment is seeking a PA/Administrator to join our client in Dublin City centre. The PA/Administrator will assist with the operations of the department, support senior management and liaise with external stakeholders of the company.
Location: Dublin City.
Job type: PA/Administrator, 2 year FTC.
Salary: €30,810 per annum.
Key duties:
- Diary management, arranging and confirming meetings, liaising and co-ordinating attendance and travel arrangements for external meetings and events.
- Prepare documentation and agenda’s in advance of meetings as required.
- Provision of support for projects, including collating research documents etc.
- Correlating information for monthly management reports and external client reports.
- With the support of Corporate personnel, co-ordination of external meetings including training events/ workshops, online events, Information Days and other meetings.
- Preparing meeting documentation in conjunction with the Secretary to the Board.
- Liaising with stakeholders on behalf of the Director.
- Working with all members of the Department to ensure delivery of excellent customer service.
- Monitoring internal mailboxes and providing a timely response to queries or requests received.
- Updating the website in line with Department policy under the direction of the Director.
- Administrative support in the processing of assigned applications for authorisation.
- Monitoring progress and status of cases while ensuring adherence to strict European timelines.
- Liaising with external customers including pharmaceutical companies and other European regulatory bodies.
- Non-product specific administration work including typing, post, telephone queries, photocopying, scanning.
- Participating, as required, in internal audits, and working on the implementation of any required corrective actions.
- Reporting regularly on progress against specified objectives, goals and performance targets.
- Participation within the Performance Development Programme (PDP).
- Attending and contributing to team and departmental meetings as appropriate.
- Ensuring that policies and procedures are communicated in a consistent way to stakeholders.
- Liaising with relevant external organisations in relation to activities and processes relevant to the Department.
- Ensuring that appropriate mechanisms are in place to support interactions with other areas of the company.
Essential experience:
- At least one years’ experience in a busy office environment.
- Previous PA experience supporting senior management would be a strong advantage.
- Excellent planning and organisation skills including the ability to efficiently manage information flow, for large and diverse volumes of work.
- Excellent record-keeping and documentation skills.
- An aptitude for problem-solving and decision-making.
- Excellent communication skills both written and verbal, confident manner with a high level of discretion and professionalism.
- Proficiency in the Microsoft office suite (Word, Excel, PowerPoint, Outlook, MS Teams) and database.
- Experience working to deadlines, and reaching targets.
