Temporary Administrative Officer

Position Details

Contract Type: Temporary
Duration: 12 Months
Salary: €31,964 – €46,815 per annum

We are seeking a Temporary Administrative Officers to join a department on a short term basis. This varied and rewarding role provides administrative support across governance, compliance, communications, project coordination, reporting, and general business operations.

Working closely with senior management and key stakeholders, the successful candidate will contribute to both strategic initiatives and the efficient day-to-day running of the organisation.

Key Responsibilities

The successful candidate will be responsible for a broad range of administrative duties, including but not limited to:

Governance & Administration

  • Provide administrative support for governance activities, including coordinating meetings, preparing and distributing documentation, maintaining secure board management systems, and supporting board members with access to relevant information.
  • Assist with organisational compliance requirements and governance obligations in line with statutory and public sector regulations.
  • Support data collection, reporting, and information management activities to assist organisational planning and performance monitoring.
  • Provide executive administrative support to senior leadership as required.

Pension Administration

  • Support annual pension administration processes, including maintaining pension records, preparing benefit statements, managing documentation for leavers, and collating data for reporting purposes.

Research Funding Support

  • Coordinate the submission of external funding applications, ensuring proposals are completed and submitted within required deadlines.
  • Maintain a schedule of funding opportunities and communicate relevant calls and deadlines to stakeholders.
  • Provide guidance on application requirements and respond to funding-related queries.

Communications & Events

  • Assist with internal and external communications activities, including website content management and social media updates.
  • Support the planning and delivery of events and promotional activities.
  • Assist in the preparation of publications, reports, newsletters, and promotional materials.

Human Resources Support

  • Provide administrative assistance on HR-related projects and initiatives, including Equality, Diversity and Inclusion activities.

Reception & General Administration

  • Provide reception/front-of-house cover when required.
  • Undertake additional administrative and operational duties as necessary to support the wider Central Administration team.

Essential Requirements

  • Significant administrative experience, ideally within a busy office environment.
  • Excellent organisational skills and strong attention to detail.
  • Ability to manage multiple priorities and work independently using sound judgement and initiative.
  • Strong interpersonal and communication skills.
  • Experience handling confidential information with discretion and professionalism.
  • Proficiency with standard office systems and administrative processes.
  • Flexible and adaptable approach to work.

Desirable

  • Experience supporting governance, compliance, pension administration, funding applications, communications, or HR activities.
  • Experience managing website content and social media platforms.
  • Knowledge of the Irish language.
