Administrative Support Officer
Orange Recruitment has an opportunity for an organised and proactive Administrative Support Officer on behalf of our client to support the Office of the CEO. This on-site role works closely with the CEO, Senior Leadership Team and Executive Assistant to the CEO, helping to coordinate communications, meetings, events, projects and day-to-day administration in a busy senior executive environment.
Role Details
Location: Galway (on-site)
Salary: Approximately €39,000-€42,000
Contract: 3 months
Working hours: 37.5 hours per week, Monday to Friday, 09:00-17:30
Annual leave: 23 days per year for full-time hours
Key Responsibilities
- Support the CEO, Senior Leadership Team and Executive Assistant to the CEO with administrative actions, internal communications, meetings and events.
- Coordinate the setup, logistics, communications and administration of meetings, workshops and briefings.
- Monitor project timelines, actions and deliverables.
- Prepare agendas, minutes, summaries and briefing materials.
- Assist with OCEO internal communications, including briefings, presentations, templates and reports.
- Maintain and update project SharePoint sites.
- Act as a point of contact for OCEO queries and correspondence.
- Support procurement processes in line with public-sector frameworks and the client’s policies.
- Undertake budget and financial tracking and reporting.
- Support audit preparation.
- Carry out desk research and provide related support.
- Ensure compliance with GDPR and data-protection requirements.
What You Will Bring
- A suitable qualification in a relevant discipline, together with proven relevant experience in a busy office environment.
- A high level of proficiency in Microsoft Office and SharePoint Online.
- Strong organisational and administrative skills, with excellent attention to detail and the ability to meet deadlines.
- Effective written and verbal communication skills for varied audiences; experience communicating at senior executive or board level and with non-technical audiences is desirable.
- Demonstrated ability in project tracking and reporting.
- Experience supporting meetings, conferences and events.
- The ability to work independently and collaboratively as part of a team.
- Experience handling confidential data and personal information.
- Proven ability to manage multiple priorities and deliver outcomes under pressure and to tight deadlines.
- Experience of public-sector procurement is desirable, but not essential.
