Administrative Assistant
Location: Dublin
Salary: €31,917 – €48,927 (depending on experience)
Contract Type: Temporary Assignment – 5 Months
Reporting To: Head of Section / Senior Manager
About the Role
We are seeking a highly organised and proactive Administrative Assistant to provide comprehensive administrative support within a busy and dynamic research environment. The successful candidate will play a key role in supporting staff, students, visitors, and stakeholders while ensuring the smooth day-to-day operation of the department.
This position requires an individual with excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities in a professional and efficient manner.
Key Responsibilities
- Provide general administrative and reception support.
- Manage phone and email enquiries.
- Coordinate meetings, maintain records, and prepare documentation.
- Process purchase orders, expenses, and petty cash.
- Support recruitment, onboarding, and HR administration.
- Assist with organising events, seminars, and conferences.
- Liaise with finance, facilities, suppliers, and contractors.
- Coordinate visitor accommodation and travel arrangements.
Essential Requirements
- Previous administrative experience in a busy office environment.
- Strong organisational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office and/or Google Workspace.
- Experience with finance administration and event coordination is desirable.
Desirable Requirements
- Experience supporting recruitment and interview processes.
- Previous experience in financial administration, including expense processing and purchase orders.
- Experience coordinating events, meetings, or conferences.
- Experience working within an academic, research, education, healthcare, or public sector environment.
