Job Title: Clerical Officer Grade IV

Location: North Dublin

Start Date: March 2025

Hours: Monday to Friday 9am to 5pm (35hours per week)

Hourly rate of pay: €18.00 – €19.00 per hour

Key Responsibilities:

  • Administrative Support:

    • Manage general administrative tasks including data entry, filing, and handling documentation.
    • Prepare and process correspondence, reports, and official documents.
    • Coordinate meetings, appointments, and departmental events.
  • Data Management:

    • Maintain accurate records, both physical and digital, ensuring data integrity and confidentiality.
    • Support the management of databases and assist in data analysis as required.
  • Customer Service:

    • Serve as the primary point of contact for internal and external queries.
    • Handle communication channels including phone, email, and postal services professionally and efficiently.
  • Financial Administration:

    • Assist with financial processes such as invoice processing, petty cash management, and expense tracking.
    • Contribute to the preparation of financial reports and budget monitoring.
  • Compliance and Policy Adherence:

    • Ensure compliance with organizational policies, procedures, and regulatory requirements.
    • Support the implementation of new systems and process improvements as directed by management.
  • Team Collaboration:

    • Work closely with colleagues and other departments to promote a cohesive working environment.
    • Provide support to other administrative staff during periods of high workload or absence.

Essential Criteria:

  • Education & Experience:

    • Minimum of QQI Level 6 or equivalent qualification.
    • 2-3 years of administrative experience, ideally in a similar role.
  • Skills & Competencies:

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
    • Strong organizational skills with the ability to manage multiple priorities.
    • Excellent communication skills, both written and verbal.
    • High level of attention to detail and accuracy.
    • Ability to work independently and as part of a team.

    • Flexible and adaptable to dynamic work environments.
    • Strong problem-solving skills and proactive attitude.

Desirable Criteria:

  • Experience in the public sector or healthcare environment.
  • Knowledge of office management and financial procedures.
