Location: Dublin / Hybrid
Contract: Maternity Leave Cover
Salary: €31,118 – €48,427 (public-sector incremental scale)

Orange Recruitment is delighted to recruit on behalf of our client, a respected public-sector organisation responsible for the regulation of health products, for the position of Regulatory Administrator within their Department. Role Summary

Reporting to the Regulatory Coordinators, the Regulatory Administrator plays a key role in supporting the efficient processing of regulatory applications and associated administrative tasks within the Department. The successful candidate will work to high standards of accuracy, organisation, and customer service, contributing to national and European regulatory processes.

Key Responsibilities

Operational Support

  • Assist with internal project tasks, including clearing backlogs and updating product data in internal databases.

  • Provide administrative support to Regulatory Coordinators.

  • Assist in processing national and European regulatory applications (new procedures, renewals, variations, classification enquiries and scientific animal health applications).

  • Coordinate assigned cases from allocation to completion, ensuring adherence to strict timelines.

  • Monitor progress, maintain accurate records, and update relevant internal and European systems.

  • Liaise with external stakeholders including pharmaceutical companies and European regulatory bodies.

  • Support general administrative duties: typing, post handling, phone queries, photocopying, scanning.

  • Provide reception cover when required.

Quality Management

  • Participate in the development and implementation of quality management practices.

  • Assist in updating departmental SOPs.

  • Participate in internal audits and support implementation of corrective actions.

  • Ensure all work is quality-checked and accurate.

Performance & Reporting

  • Work with Regulatory Coordinators to set performance objectives.

  • Report on progress against targets.

  • Participate in the organisation’s Performance Development Programme.

Communication & Customer Service

  • Contribute to departmental meetings.

  • Ensure consistent communication of organisational policies to stakeholders.

  • Provide timely responses to customer enquiries.

  • Liaise with other internal teams and external organisations as required.

General Duties

  • Carry out additional duties as reasonably required to support departmental operations.

Qualifications & Experience

Essential:

  • Minimum one year of office administration experience.

  • Excellent planning, organisation, and prioritisation skills.

  • Strong attention to detail and accuracy.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) and databases.

  • Ability to use initiative and maintain productivity.

  • Experience working within a team requiring flexibility and collaboration.

  • Ability to meet deadlines and achieve targets.

Working Arrangements

  • Hybrid working model: minimum of 2 days per week onsite (40% of working days).

  • Monday-Friday, minimum 35 hours per week.

  • Flexitime available after six months.

  • Annual leave: 22 days per annum (plus public holidays).

Additional Information

  • This is a maternity-leave contract.
