Human Resources Administrative Support Officer

Duration: 7 months (June 2026 – December 2026)

Location: Oranmore, Co. Galway (On-site)

Reporting To: Head of HR / HR HEO

Working Hours: 37.5 hours per week, Monday to Friday

Annual Leave: 23 days per annum

Starting at 16.92 ph depending on experience

Role Overview

The successful candidate will provide clerical and administrative support to a busy Human Resources team. The role will support a range of HR functions including recruitment administration, learning and development coordination, finance administration, reporting, and general HR operational support.

The position requires a highly organised individual with strong administrative capability, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Providing Clerical and Administrative Support to the HR team
  • Supporting Recruitment and selection Administration in line with relevant policies and operating frameworks
  • Supporting Learning and Development Administration in line with relevant policies and operating frameworks
  • Supporting budget tracking, raising of Purchase Orders, Receipting Invoices /Goods and Services – using an online system.
  • Support audit preparation and statutory reporting
  • Drafting of communications, responses and reports – including the Recruitment & Selection In-Box
  • Supporting meetings and events / promotions
  • Support administration and implementation of the temporary Agency Framework
  • Assist with monitoring and tracking the probation process, including issuing reminders to managers. (considering a platform / tool to digitise the process as a priority)
  • Support the administration and tracking of increments. (using digital operating framework in place)
  • Administer the timesheets receipting for any temporary role in place under the Agency Framework
  • Any other duties required from time to time as relevant to the role and salary point

Essential Skills, Experience & Competencies

The successful candidate should demonstrate:

  • Strong clerical and administrative experience
  • Excellent IT skills with the ability to quickly learn and use multiple HR systems and Microsoft 365 applications including Outlook, Teams, Word, Excel, and SharePoint
  • Experience using Management Information Systems
  • Strong organisational skills with the ability to manage competing priorities and deadlines
  • Effective written and verbal communication skills
  • Ability to work independently while also contributing effectively within a team environment
  • Experience working in a busy office environment with multiple workstreams
  • Experience supporting financial administration processes such as purchase orders, invoice receipting, or budget tracking using online systems
  • Professional discretion and the ability to work with confidential information
  • Flexibility and adaptability in response to evolving business needs.
