Job Title: HR Administrator

Dublin 2

Orange Recruitment are looking for a talented HR Administrator to provide high-quality administrative support to the recruitment team, ensuring efficient delivery of services across the organisation. A key element of the role is the ability to accurately and impartially take notes during public sector recruitment interviews and formal meetings, ensuring compliance with governance, equality, and data protection requirements.

Key Responsibilities

HR Administration

  • Provide comprehensive administrative support across the employee lifecycle, including recruitment, onboarding, contracts, and leavers.

  • Maintain accurate and up-to-date records and electronic filing systems in line with GDPR and organisational policies.

  • Assist with the preparation of interview scheduling, correspondence, and documentation.

Recruitment and Selection Support

  • Coordinate recruitment activities, including arranging interviews, preparing interview packs, and liaising with candidates and panel members.

  • Act as interview administrator and designated note-taker during recruitment and selection panels.

  • Accurately record interview questions, candidate responses, and panel discussions in a clear, objective, and confidential manner.

  • Ensure interview notes are factual, unbiased, and suitable for audit, feedback, and potential challenge.

  • Support compliance with public sector recruitment principles, equality legislation, and organisational policies.

Governance and Compliance

  • Ensure all HR activities are carried out in line with employment legislation, public sector standards, and internal procedures.

  • Handle sensitive and confidential information with discretion and professionalism at all times.

  • Support audit and information requests as required.

Essential Skills and Competencies

  • Proven ability to take accurate, clear, and impartial notes, particularly in formal interview or meeting settings.

  • Strong written communication skills, with the ability to summarise complex discussions accurately.

  • Excellent organisational skills and attention to detail.

  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

  • Professional, discreet, and confident when working with senior managers and interview panels.

  • Good IT skills, including Microsoft Office (Word, Excel, Outlook) and HR systems.

Essential Experience

  • Previous experience in an administrative role, ideally within HR or the public sector.

  • Experience supporting recruitment processes and/or formal meetings.

  • Demonstrable experience of note-taking or minute-taking in a professional environment.
