About the Role
The Clerical Officer supports the provision and coordination of essential medical equipment and assistive devices for service users. We are seeking a detail-oriented and organised Clerical Officer to provide high-quality administrative support, ensuring accurate documentation and smooth operational workflows within a fast-paced healthcare setting.
Key Responsibilities

Process referrals, requisitions, and documentation for aids, appliances, and medical equipment.

Maintain accurate records and databases in line with standards.

Liaise with clinical staff, community teams, service users, and suppliers regarding equipment orders, delivery schedules, and queries.

Track equipment requests, monitor stock levels, and follow up on outstanding items.

Respond to incoming phone and email queries professionally and efficiently.

Prepare routine service reports, data extracts, and administrative summaries.

Assist with scheduling of assessments, collections, and appointments.

Ensure strict adherence to data protection, patient confidentiality, and all administrative procedures.

Provide general administrative support including filing, scanning, photocopying, and minute-taking.
Requirements

Previous experience in a clerical or administrative role – public sector experience an advantage.

Excellent attention to detail with strong accuracy in data entry and documentation.

Strong organisational, multitasking, and time-management skills.

Proficiency in Microsoft Office (Excel, Word, Outlook).

Good written and verbal communication skills.

Ability to work independently and collaboratively within a multidisciplinary team.

Professional, reliable, and service-oriented approach.
Desirable Skills

Familiarity with aids and appliances services, logistics, or equipment coordination.

Understanding of medical terminology or patient administration processes.
