Clerical Administrative Support

22-Month Fixed-Term Assignment (June 2026 April 2028)

Location: Dublin (Onsite)

Hours: 37.5 hours per week, Monday to Friday

Salary: 32,000 – €36,000 depending on experience

Overview

An exciting opportunity has arisen for an experienced and highly organised Clerical Administrative Support professional to provide comprehensive administrative assistance to the Director. This position requires an individual with strong organisational skills, excellent attention to detail, and the ability to work independently within a busy office environment.

Key Responsibilities

  • Provide comprehensive clerical and administrative support to the Director.
  • Support budget tracking and the processing of purchase orders, invoices, goods and services using an online system.
  • Assist with drafting correspondence and formatting, proofing and preparing documents, reports and presentations.
  • Coordinate onsite meetings and support visiting individuals and groups, including room bookings, catering arrangements and visitor access.
  • Provide general meeting support and assist with the preparation of reports and presentations.
  • Manage the Director’s travel and accommodation arrangements.
  • Maintain both electronic and hardcopy filing systems.
  • Provide facilities and office support as required.
  • Undertake any other duties relevant to the position and appropriate to the grade from time to time.

Qualifications

  • Educated to Leaving Certificate level or equivalent.

Skills and Experience

The successful candidate will demonstrate:

  • Proven clerical and administrative experience.
  • Experience supporting budget tracking and processing purchase orders and invoices through an online system, or the ability to quickly learn such systems.
  • Previous experience working within a busy office environment, ideally within a technical or scientific setting.
  • Excellent IT skills, including proficiency in Microsoft Word, Excel, PowerPoint, Outlook and database systems.
  • Experience updating websites and/or intranet content would be advantageous.
  • Experience organising meetings and events.
  • The ability to work independently and use initiative.
  • Experience assisting with the preparation and collation of reports.
  • Strong research skills and exceptional attention to detail.
  • Excellent written and verbal communication skills with the ability to communicate effectively at all levels.
  • Previous experience supporting accounts preparation and budget tracking processes.
