Administrator, Licensing Compliance
Role Summary
The Administrator, Licensing Compliance will support the Licensing function within the Compliance Department by providing administrative assistance in the processing and coordination of licensing applications and related compliance activities. The role reports to the Senior Licensing Administrator and Licensing Manager.
Key Responsibilities
Operational Objectives
- Provide administrative support for the processing of all licensing applications.
- Ensure applications are processed within agreed timelines.
- Monitor application progress and status against established deadlines.
- Deliver efficient administrative support to the Compliance Department and senior management.
- Coordinate licensing applications and associated documentation.
- Undertake general administrative duties including document preparation, telephone enquiries, filing, and records management.
- Utilise available systems and technology to support efficient processing of applications.
- Liaise effectively with colleagues across the department, including inspectors, administrators, team leaders, and management.
- Provide support across other areas of the Licensing Team as required.
- Assist with reception cover when necessary.
- Support the preparation and compilation of monthly statistical and performance reports.
Quality Management
- Support the effective implementation and maintenance of the organisation’s Quality Management System within the Licensing function.
- Contribute to the development and implementation of licensing policies, procedures, and best practices.
Performance Management
- Work with line management to establish appropriate performance objectives and targets.
- Monitor and report on progress against agreed goals and performance measures.
- Identify and help resolve issues affecting service delivery and performance.
- Support the communication of objectives and targets within the team.
- Promote a positive, collaborative, professional, and customer-focused working environment.
- Participate in organisational performance development and review processes.
Communication and Customer Service
- Attend and contribute to team, departmental, and organisational meetings.
- Work collaboratively to deliver efficient and effective customer service.
- Ensure policies and procedures are communicated consistently to stakeholders.
- Liaise with external organisations and stakeholders regarding licensing processes and activities.
General Responsibilities
- Undertake additional duties appropriate to the role as reasonably required.
Qualifications and Experience
Essential Requirements
- Minimum of one year’s experience in a busy administrative or office environment.
- Proven ability to meet deadlines and achieve targets.
- Strong organisational skills with the ability to prioritise and manage high volumes of work.
- Proficiency in Microsoft Office applications and database administration.
- Experience working effectively as part of a team.
- Ability to use initiative and maintain productivity in a fast-paced environment.
- Excellent communication and interpersonal skills.
Salary: €31,934 – €49,416 per annum (incremental scale)
Hours of Duty
- Monday to Friday
- Minimum 35 hours per week
- Participation in flexitime arrangements may be available following a qualifying period
Contract Duration
Fixed-term contract until December 2026.
Annual Leave
22 days annual leave per annum, exclusive of public holidays.
