Job Title: Note Taker

Role Purpose

The Note Taker provides accurate, impartial, and confidential written records during public sector recruitment competitions. This includes interviews, assessments, and selection panels. The notes form part of the official recruitment record and may be relied upon for decision-making, audit, or feedback purposes.

Key Responsibilities

  • Attend recruitment interviews, assessment centres, and selection panels (in person or remotely).

  • Produce clear, factual, and objective notes that accurately reflect candidates’ responses and panel discussions.

  • Capture evidence against agreed competency frameworks, behaviours, or selection criteria as directed by the panel.

  • Ensure notes are structured, legible, and completed within required timeframes.

  • Maintain strict confidentiality and comply with data protection and information governance requirements.

  • Remain neutral and avoid interpretation, judgement, or personal opinion in all records.

  • Work professionally with panel members, HR teams, and recruitment leads.

  • Follow organisational recruitment policies, equality legislation, and best practice guidance.

Essential Criteria

  • Excellent written English, with the ability to summarise information accurately and concisely.

  • Strong listening skills and the ability to capture information in real time.

  • High attention to detail and accuracy.

  • Ability to understand and work with competency-based or criteria-based recruitment frameworks.

  • Professionalism, discretion, and integrity.

  • Ability to manage confidential and sensitive information appropriately.

  • Reliable, punctual, and able to work to deadlines.

  • Competent in using Microsoft Word or equivalent digital tools.

Desirable Criteria

  • Previous experience as a note taker, administrator, or support role in public sector recruitment or HR.

  • Familiarity with public sector recruitment principles (e.g. fair and open competition, merit-based selection).

  • Experience of remote/virtual interviews and digital note-taking.

  • Understanding of equality, diversity, and inclusion in recruitment processes.
