Role Summary
A national regulatory organisation is seeking an Administrator to join its Regulatory Enablement team. The Regulatory Enablement team is responsible for ensuring that applications are efficiently and accurately managed from receipt through scheduling and, in most cases, to final decision. This role provides essential administrative and coordination support to case managers, assessment teams, and colleagues across the department, contributing to the effective regulation of human medicinal products.
Reporting to a Case Manager, the successful candidate will play a key role in supporting regulatory processes, managing applications through internal and external systems, and delivering a high standard of customer service to internal and external stakeholders.
Key Responsibilities
Operational & Administrative Support
- Provide administrative support to Case Administrators, Case Managers and Section Managers
- Process applications through internal IT systems in line with regulatory timelines
- Maintain and update internal workflow systems and external European regulatory databases
- Support colleagues proactively as directed by management
- Liaise with internal departments and sections to resolve operational issues
- Communicate with external stakeholders, including pharmaceutical companies and European regulatory bodies
- Manage general administrative duties such as correspondence, telephone queries, typing, filing, photocopying and reception cover
- Ensure all incoming queries, post and emails are handled promptly and professionally
Quality Management
- Support the effective operation of the organisation’s Quality Management System
- Contribute to the development and implementation of licensing policies and practices
Performance & Teamwork
- Participate in the organisation’s performance development process
- Agree objectives and performance targets with line management
- Monitor and report on progress against goals
- Identify and resolve issues impacting performance
- Promote a positive, professional and collaborative working environment
Communication & Customer Service
- Attend team, section and departmental meetings
- Ensure policies and procedures are communicated clearly and consistently
- Liaise with relevant external organisations as required
General
- Undertake other reasonable duties as required
- Support departmental initiatives and strategic projects as needed
Qualifications & Experience
Essential Requirements
- Minimum of one year’s experience in a busy office or administrative environment
- Strong organisational skills with the ability to manage high volumes of work
- Proven ability to meet deadlines and achieve targets
- Excellent attention to detail
- Strong typing skills with a low error rate
- Experience with data entry and administrative systems
- Working knowledge of Microsoft Office and general IT systems
- Ability to work effectively as part of a team
- Excellent communication and interpersonal skills
- Ability to engage with stakeholders and understand their needs
