Job Title: Administrator

Location: Citywest, Dublin
Salary: €35,000 – €40,000 per annum (pro-rata)
Contract Type: Temporary – 3-month initial contract (potential extension)

About the Role

We are seeking a highly organised Administrator with exceptional attention to detail to support operations within a fast-paced, compliance-focused environment. The successful candidate will play a key role in ensuring accurate documentation, efficient workflow coordination, and high-quality administrative support to internal teams.

Key Responsibilities

  • Provide day-to-day administrative support including scheduling, document control, and correspondence management.

  • Maintain accurate records, databases, and tracking systems, ensuring all information is up-to-date and compliant with internal standards.

  • Process documentation with a high level of precision, ensuring zero errors and strong version control.

  • Handle incoming queries (phone/email) professionally and direct them to relevant stakeholders.

  • Prepare reports, collate data, and assist with KPI tracking and operational updates.

  • Support onboarding coordination for new staff or contractors.

  • Arrange meetings, distribute agendas, and draft minutes accurately.

  • Liaise with internal departments, suppliers, and service partners to ensure smooth operational workflows.

  • Provide ad-hoc administrative support as required.

Requirements

  • Proven experience in an administrative or office support role.

  • Exceptional attention to detail and a strong commitment to accuracy.

  • Excellent organisational and time-management skills with the ability to handle multiple priorities.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Strong written and verbal communication skills.

  • Ability to work both independently and within a team.

  • Professional, proactive, and dependable approach to work.

  • Comfortable working in a structured, process-driven environment.

Desirable Skills

  • Experience in healthcare, pharmaceutical, distribution, or other regulated industries.

  • Familiarity with CRM, ERP, or workflow/fulfilment systems.

  • Experience with document control or quality-driven administrative tasks.
