Job Title: Executive Assistant to the CEO

Location: Dublin

Tenure: Fixed Term (11 months)



The CEO’s Office is a pivotal and dynamic environment, dedicated to addressing strategic and operational priorities on a daily basis. This position requires collaborating with essential stakeholders internally and externally. The successful candidate will provide comprehensive support to the CEO and Senior Leadership Team across various functions.

Key Responsibilities:

  • Collaborate with the CEO to develop presentations and reports for both internal and external stakeholders.
  • Assist in data collection, research, and document preparation to ensure clarity and effectiveness.
  • Stay informed about external policy changes that may affect the CEO’s work; review staff Back to Office Reports (BTORs) and create briefings as necessary.
  • Effectively manage the CEO’s schedule, prioritizing meetings, appointments, and conference calls.
  • Draft the CEO Report for the Board, ensuring there is time available for review by both the CEO and Board Chair prior to meetings.
  • Organize and participate in weekly Senior Leadership Team (SLT) meetings, including preparing agendas and circulating meeting minutes and action items.
  • Summarize key decisions and discussions from SLT meetings in brief updates distributed to all staff.
  • Track progress on action items and address any issues with relevant staff members on behalf of the CEO.
  • Coordinate all travel arrangements for the CEO, including flights, accommodations, transportation, and visas.
  • Manage the CEO’s expense reporting and reimbursement requests related to travel and other expenses, as well as initiate necessary purchase orders.
  • Ensure the CEO is well-prepared for internal and external meetings by providing necessary documentation in advance.

Person Specification:

  • A minimum of two years of relevant postgraduate work experience as an executive assistant is required, with experience in research, data compilation, and analysis being advantageous.
  • A Degree at level 8 or above on the National Framework of Qualifications
  • Understanding of the company’s mandates and regulatory role.
  • Proficiency in Microsoft Office Suite, tools and presentation software.
  • Excellent written and verbal communication skills is essential
  • Demonstrated strengths in organization and time management are necessary.
  • Attention to detail and adept problem-solving skills are valued.
  • Flexibility to adapt to changing priorities and schedules.
